How we collect and use (process) your personal information
When you book a treatment or make an enquiry we collect information about you including (but not limited to) your name, phone number, email address and home address. This is in the event that we need to contact you to arrange or re-arrange your appointment.
Depending on the treatment you have we may collect additional personal information about medical conditions, treatment preferences, treatment frequency, whether you have been tested for certain reactions to products where appropriate. These treatment record cards make sure we deliver the highest standards of care and the most appropriate treatment for you. Aivilo may use this information to help the us understand our client’s needs and preferences to better tailor our products and services to meet your needs. We will keep these treatment records for a minimum of 7 years from the date of your last treatment with us in the event we need the information contained in these records for a personal injury claim.
Aivilo relies consent and legitimate interest as the lawful bases under GDPR Article 6 for processing clients’ personal information.
Occasionally we may link to an external website we believe could be relevant and useful to you. At these times, Aivilo is not responsible or liable for content provided by these third-party websites or personal information they may happen to gather from you.
Aivilo uses Google Analytics to track how often people gain access to or read our content. We use this information in the aggregate to understand what content our members find useful or interesting, so we can produce the most valuable content to meet your needs. We do not track individuals but look at information in the aggregate only.
Your correspondence with Aivilo
If you correspond with us by email, the postal service, or other form of communication, we may retain such correspondence and the information contained in it and use it to respond to your enquiry; or to keep a record of your complaint and the like. As always, if you wish to have Aivilo erase your personal information or otherwise refrain from communicating with you, please contact us at reply@aivilo.co.uk
Note: if you ask Aivilo not to contact you by email at a certain email address, Aivilo will retain a copy of that email address on our “master do not send” list in order to comply with your no-contact request.
Purposes for processing your data
As explained above, Aivilo processes your data to provide you with the goods or services you have requested or purchased from us. We use this information to ensure the treatments we provide are safe and delivered to the highest standards and to better tailor them to your needs. We may also communicate with you about other services Aivilo offers that you may enjoy.
Most of the time, Aivilo needs to process your data to fulfil an order for goods or services, sometimes Aivilo has a legitimate interest in processing data to better understand the needs, concerns, and interests our clients so we can improve our services to you. And sometimes Aivilo relies upon your consent, in which case we will keep a record of it and honour your choices.
Payment card information
You may choose to purchase goods or services from Aivilo using a payment card. Typically, payment card information is provided directly by users, into a PCI/DSS-compliant payment processing service to which Aivilo subscribes, and Aivilo does not, itself, process or store the card information. Occasionally clients ask Aivilo’s employees to, on their behalf, enter payment card information into the PCI/DSS-compliant payment processing service to which the Aivilo subscribes. We strongly encourage you not to submit this information by email. When our employees receive payment card information from customers or members by email or phone, it is entered as instructed and then deleted or destroyed.
What happens if you don’t give us your data
You can enjoy many of the Aivilo’s services without giving us your personal data. You can even enter only the minimal amount of information such as your name. In some cases we may refuse a treatment if vital medical information is not obtained or essential product tests are not carried out.
